Privacy Policy

1. Who we are

HeyOrky (“we”, “us”, “our”) is an AI-native recruiting platform. This policy explains what personal data we collect when you apply to a job posted on HeyOrky, how we use it, and what choices you have.

2. What we collect

  • Application data: the name, email, phone, LinkedIn URL, location, and resume you submit when applying for a role.
  • Interview responses: if the role uses an AI interview, your written or audio answers and the AI's evaluation for the recruiter.
  • Compliance fields: for US-based roles, work authorization answers and (optionally) voluntary self-identification data, kept separately and never used in automated screening.
  • Talent Network (optional): if you check the opt-in box on the application form, we keep a structured summary of your background (skills, experience, last role) so HeyOrky can contact you about future opportunities across the platform.

3. How we use it

  • Reviewing your application for the specific role you applied to, on behalf of the hiring company.
  • Communicating with you about the application (interview invites, status updates, reminders).
  • Only if you opted in: matching you to other relevant opportunities posted on HeyOrky and emailing you about them.
  • Operating, securing, and improving the platform.

We do not sell your personal data to third parties. We do not use your application data to train machine-learning models.

4. Who sees your data

Your application is shared with the hiring company you applied to, including their evaluation and ranking, and with our AI service provider (Anthropic) to generate the evaluation. If you opted in to the Talent Network, the structured summary may also be visible to HeyOrky operators when matching candidates to new roles. We do not share Talent Network data with companies other than at the moment we contact you about a specific opportunity (and even then, only after you click through).

5. The Talent Network opt-in

The opt-in is separate, explicit, and reversible. We record the timestamp of your consent. You can unsubscribe at any time using the link at the bottom of any HeyOrky talent email, which removes you from the Talent Network immediately and permanently. Unsubscribing does not affect your application to the role you originally applied for.

If you do not opt in, we never use your application data for outbound to other companies or platform-wide matching.

6. Retention

Application data is retained as long as the hiring company keeps the role open and for a reasonable period afterwards for auditability. Talent Network data is retained for 2 years from your most recent opt-in or last contact, whichever is later, and is removed sooner if you unsubscribe.

7. Your rights

Depending on where you live, you may have the right to access, correct, or delete your personal data, and to object to certain processing. To exercise these rights, email privacy@heyorky.ai. We aim to respond within 30 days.

8. Automated decision-making

HeyOrky uses AI to score and rank applications. A human recruiter at the hiring company reviews the shortlisted candidates before any hiring decision. If you have concerns about an automated decision, you can contact the hiring company directly or reach us at the email above.

9. Cookies

HeyOrky uses a single first-party cookie (heyorky_token) for authenticated recruiter sessions. It is HTTP-only, same-site, and expires when you log out or after the session lifetime. It is “strictly necessary” (required to stay logged in), so no consent banner is needed for it.

We run no third-party analytics, advertising, or marketing trackers, and set no cookies on candidate-facing pages (apply form, public job page, AI interview). If we ever add non-essential trackers, we will update this policy and introduce an EU-region consent banner before any such cookie is set.
